With that in mind, let’s talk about some key strategies for effective time management from a small business perspective.

Small businesses have a lot of moving parts, which is why proper organization is key. A chaotic workplace is an inefficient one, and inefficient workplaces waste more time. For my small business consulting services, these are some of the key organizational tips I stand by:

  • Declutter your workspace and organize all your digital information into easily searchable formats. For example, if you work on a per-client basis, organize information by client so you can recall it quickly when you need it. 
  • Set clear and achievable goals for your business. You can further break down goals into individual timelines, such as weekly, monthly, and annual goals. Goals need to have clear conditions so you know whether you are making progress towards them. 
  • Reorganize your schedule to when you are most productive. Not everyone works best at the same pace. For some, they work best right after lunch; for others, the morning hours are prime time to get work done. Schedule more complex and difficult tasks for when you are most productive. 

Use the Right Tools

One thing I always mention in startup consulting is using tools and apps to effectively manage time. Even simple apps like calendars and to-do lists can keep you on track when handling routine tasks. If you have a larger team you need to manage, you can invest in project management software to track individual to-do lists, tasks, and schedules. 

The tools you can use also include strategies and methods for managing time. For example, the Pomodoro Method involves splitting individual tasks into 25-minute segments with small five to 10-minute breaks in between. Time blocking is a more involved method that involves parsing every part of your day into a schedule. I use several of these tools and strategies in my own small business consulting firm, and they haven’t failed me yet!

You can’t achieve effective time management with just tools and apps — you need to also cultivate the right productive habits and mindsets. Key habits to get into include:

  • Minimizing distractions in the workplace
  • Starting your workday with a productive routine (e.g., answering emails, filing invoices, etc.)
  • Make sure you have a quiet space you can go to when you need to focus
  • Turn off non-work-related phone notifications while you are at work
  • Don’t multitask as it can harm productivity. Focus on one task until it’s complete or you reach a natural stopping point. 

Delegation Is Key

As a small business owner, a key skill to have is delegation. After a certain point, you won’t be able to handle everything on your own, so delegating tasks effectively is crucial. Delegating critical tasks to competent employees opens up your mental bandwidth so you can focus on high-level business growth strategies without getting bogged down in the weeds.
